How we count staff
| Rule | What it means for your bill |

| Only active staff count | "Active" means at least one shift in your account that month. Someone on your list with no shifts that month costs nothing. |
| Each person counts once | A person who works at more than one of your sites is counted once, as long as their record at each site has the same email address. |
| Several sites | One account covers any number of sites. You pay per person, with no charge per site. |

Is there a free plan?
No. While we're in beta, RotaHero is free. After that, every new account starts with a 1-month free trial of the whole product, then it's the one paid plan, priced by the number of staff who work in the month.
What happens when the trial ends?
You choose to subscribe or, after a short grace period, the account becomes read-only: you can still sign in, view your records and download all of your data.
How do I cancel?
Cancel any time by email. There is no minimum term on monthly plans. See cancellation and refunds.
Can prices change?
We announce any price change at least 30 days in advance. It takes effect at your next renewal and never inside a period you have already paid for.
Are there setup fees or add-ons?
No. No setup fee, no onboarding fee, no add-ons: every feature is in the one plan.
